Position title: Parish Administrator
Reports to: Lead Pastor
Level:Part-time, non-exempt
Hours worked: 25 hours per week, Monday – Friday (September through June); 20 hours per week (July + August)
United Church of Christ Norwell is a vibrant, growing, and inclusive community serving the South Shore of Massachusetts. We are seeking a Parish Administrator to support the daily operations of the church office and help foster a welcoming, organized, and well-connected community.
Position summary:
The Parish Administrator plays a central role in the life of the church by coordinating communications, maintaining records, and providing administrative support to staff, ministry teams, and congregants. This individual serves as a welcoming first point of contact and ensures the smooth and efficient operation of the church office.
Responsibilities:
Produce written communications in Canva, including Sunday bulletins (order of worship and announcements), special event bulletins, annual report and annual meeting materials, and content for bulletin boards. Assist in creating other printed materials as requested by leadership or ministry teams.
Provide front desk support by welcoming visitors, answering inquiries, and managing phone and email communications with professionalism and warmth
Maintain and manage the church’s master online calendar
Receive, sort, and distribute incoming mail; coordinate church-wide mailings as needed
Manage key distribution and maintain accurate records to ensure accountability and security
Organize and maintain digital files using Microsoft SharePoint
Maintain and update the church database, including contact information, membership records, and mailing lists; track attendance as well as baptisms, funerals, and other important information
Serve as the point of contact for prayer requests and maintain a current weekly prayer list
Coordinate building use inquiries and communicate event needs to the Facilities Manager
Monitor inventory of office and worship supplies; order and restock as needed
Coordinate maintenance and repair of office equipment
Recruit, schedule, and train volunteers to provide office coverage as needed
Provide general administrative support to staff and lay leadership
Qualifications:
Prior experience in office administration, preferably in a church or community-based/non-profit setting
Strong organizational and time management skills, with the ability to manage multiple priorities effectively
Excellent written and verbal communication skills, with professional and courteous phone etiquette
Demonstrated ability to engage warmly and professionally with a wide range of individuals
Tech-savvy; proficiency in Microsoft Office Suite, Canva, and management of office equipment
A proactive mindset with a willingness to learn and grow in the role
Demonstrated ability to handle confidential information with discretion, integrity, and sound judgment while maintaining a professional and positive demeanor
